Microsoft Legal Hold License

If your organization has an E3 plan or relevant add-on licenses, you can take advantage of Office 365`s Core eDiscovery features. This allows you to put a dispute on hold through OneDrive, Teams, and more. You can also turn on searches for specific OneDrive and Teams accounts. That`s right, @Vasil Michev, the conversation revolved around importing the mailboxes of users who left the organization. I understand that Microsoft has not made progress in applying for an inactive mailbox license, but does it require a mailbox to be licensed for a minimum period of time before it can be configured as inactive? The Microsoft person may have read the license document that was circulating within Microsoft and its partners before Ignire and contained the idea of an inactive mailbox license. That document and proposal were withdrawn after fierce debate on the subject, but it is quite possible that whoever made the statement did not hear the news. O365 legal holds are not the same as the retention notices that lawyers typically think of when using the term, as they are only for data retention. However, O365`s higher-level eDiscovery plan includes a version of Custodian Notification Tracking as part of its feature set. On the properties flyout page, click the Email tab, and then under More Actions, click Manage Litigation Retention.

With this new template, you can use the compliance store to create granular retention policies to preserve mailbox items in the following scenarios: Retention purposes: You can specify what to store using query parameters such as keywords, sender, and recipient. The start and end dates, as well as the types of messages, such as e-mail messages or calendar items, that you want to store in the archive. Once your dispute in Office 365 has become a complete case, you can immediately start eDiscovery on all your Office 365 data, as well as data from any other ESI source. All of this happens on a single, centralized, highly secure platform. Litigation retention in Office 365 is a retention feature that enables organizations to retain data in the O365 app ecosystem. This case retention feature allows Office 365 admins to retain data such as Outlook email, Teams conversations, OneDrive files, and more, while preventing company employees from deleting those files. One of our customers has been notified that the mailbox must have a license valid for at least three months to configure a mailbox to Hold for Dispute in Exchange Online. I haven`t seen this documented licensing requirement anywhere, so is it really the case, and if so, does it also apply to O365 retention policies? Authorized users who have been added to the Role Based Access Control (RBAC) role group of Discovery Management, or who have been assigned the Legal Hold and Mailbox Search management roles, can manage or delete mailboxes in the compliance store. You can delegate the task to records managers, compliance officers, or lawyers in your organization`s legal department with the fewest privileges. For more information about how to assign the Discovery Management role group, see How to Assign Exchange eDiscovery Permissions. Here`s what happens when you create a litigation hold. If a mailbox is placed simultaneously on one or more in-place and litigation holds (without delay), all items are retained indefinitely or until the retention areas are deleted.

If you delete litigation retention and the user is still stored on one or more in-place holds, items that meet the criteria for permanent retention are retained for the duration specified in the retention settings. Litigation retention in Office 365 is an essential part of an organization`s proper preservation efforts. While Office 365 offers useful tools to speed up this process, internal teams still need to combine their Office 365 process assurance plan with more robust, legally conscious tools to demonstrate the defensiveness of their litigation retention processes. The following illustration shows the subfolders in the Recoverable Items folders and the suspend workflow process. To enable single-mailbox retention, you must first ensure that the target mailbox has at least one Exchange Plan 2 license or add-on license. If this is the case, administrators can view the list of active users in the organization in their admin dashboards, select the user mailbox to which they want to apply retention, and then click the Manage Litigation Hold option in that user`s profile. The previous command retains items indefinitely because the retention period is not specified. To create a time-based hold by using the following command: Move user mailboxes to the archive and keep mailbox items immutable. What happens if mail forwarding is configured for a mailbox and messages are not copied to the original mailbox when the mailbox is pending? Mailbox blocking settings are checked during the delivery process. If the message meets the mailbox`s retention criteria, a copy of the message is stored in the Recoverable Items folder.

This means that you can use eDiscovery tools to search the original mailbox for messages forwarded to another mailbox. Automated legal retention tools can save you time and allow you to combine your Office 365 retention efforts with your non-Microsoft data retention tasks. Logikcull Hold, whose basic version is completely free, allows you to easily issue lock notifications for any type of Office 365 litigation block. You can automatically track deposit confirmations and manage reminders and approvals with just a few clicks. This allows you to follow retention practices when implementing, for example, a routine Teams litigation hold or OneDrive litigation hold. Implementing case hold in your Office 365 ecosystem is simple. If you need to remember only one mailbox, you must first make sure that the mailbox you`re monitoring has an Exchange Plan 2 license or similar add-on license. Administrators can then search for a list of active users in your organization in their dashboard and select the specific mailbox to use litigation retention at. Typically, Microsoft allows companies to hold records and sources through its Purview tool. For example, you can put a mailbox that is linked to Office 365 Exchange, teams, and groups on litigation hold. You can also set legal retention periods for data in OneDrive for Business accounts.

Retention period: You can specify a duration for items in the archive. I wouldn`t expect a warning since Microsoft has not yet confirmed or given a firm indication that they are changing the licensing requirement for litigation. In Microsoft Teams, selected users or entire teams can be placed on hold for litigation.
